TEXTORITY: HOW TEXTORITY AI USES DATA
Last Updated: September 30, 2026
This notice explains how Textority Inc. (“Textority”) may collect, access, use, disclose, retain, and otherwise process information in connection with artificial intelligence, machine learning, generative AI, automated assistance, and related features made available through the Services (collectively, “AI Features”). It is intended to provide practical transparency about the data flows associated with Textority AI without describing a feature, provider, model, or practice that Textority has not actually enabled.
This notice supplements the Textority Privacy Policy, Textority AI Additional Terms (“AI Terms”), AI Transparency Notice, Terms of Service (“Terms”), Creator Terms, Age Eligibility Policy, Child Safety Policy, Data Retention and Deletion Policy, and other applicable Textority notices and terms. Capitalized terms not defined here have the meanings given in the Terms or AI Terms. If a feature-specific notice, written agreement, or mandatory law imposes a more specific requirement for a particular processing activity, that requirement controls for that activity.
1. PURPOSE AND SCOPE
1.1 Purpose. This notice describes the categories of information that an AI Feature may process, the purposes for which that information may be used, when information may be transmitted to AI Providers or other service providers, how training and improvement practices are addressed, and the retention, privacy, safety, and user controls that may apply.
1.2 Feature-specific processing. AI Features can differ materially. A drafting tool, conversational assistant, classification feature, knowledge-retrieval tool, automated workflow, recommendation feature, or future AI capability may require different information. A category described in this notice is processed only when it is relevant to an AI Feature that is actually enabled and the information is made available to that feature through the applicable configuration, interaction, or system context.
1.3 No feature commitment. Mentioning a data category, model capability, provider relationship, setting, or control does not mean that Textority currently collects that data for every AI Feature, offers the referenced capability, or has enabled the referenced control.
1.4 Relationship to the Privacy Policy. The Privacy Policy describes Textority processing more broadly, including account, transaction, technical, support, safety, and other information. This notice focuses on AI-related processing and does not replace the Privacy Policy or create broader collection authority than the Services and applicable notices otherwise permit.
2. INFORMATION AN AI FEATURE MAY PROCESS
2.1 Prompts and instructions. An AI Feature may process prompts, questions, commands, instructions, examples, preferences, response rules, and other information submitted to direct or configure the feature.
2.2 Messages and conversation context. Where a conversational or messaging feature is enabled, the AI Feature may process the message being answered and relevant portions of the conversation or interaction history that are made available to the feature. Textority does not state that every conversation is continuously available to every AI Feature.
2.3 Files and media. If an AI Feature permits files, images, audio, video, documents, links, or other materials to be uploaded or referenced, the feature may process those materials and associated metadata as necessary for the requested function.
2.4 Knowledge sources. A Creator or authorized User may make websites, documents, FAQs, product information, policies, catalogs, instructions, or other knowledge sources available to an AI Feature. The feature may retrieve, analyze, summarize, transform, or use relevant portions of those sources to generate Output or perform an enabled function.
2.5 Account, Channel, and workflow context. An AI Feature may receive account, Channel, role, permission, language, configuration, workflow, or other contextual information reasonably necessary to determine what the feature is permitted to do and how it should respond.
2.6 Transaction and service context. Where an enabled AI Feature supports commerce, scheduling, customer support, or another service workflow, it may receive limited transaction, order, subscription, access, delivery, booking, or support context reasonably necessary for that workflow. This notice does not state that AI Features receive full payment-card, bank-account, identity-verification, or other highly sensitive credentials.
2.7 Outputs. Textority may process text, classifications, summaries, recommendations, generated responses, suggested actions, transformed content, or other Output returned by an AI Feature, together with information reasonably necessary to associate the Output with the relevant interaction or feature.
2.8 Feedback and evaluation information. If a User provides a rating, correction, report, preference, review, or other feedback about an AI Feature or Output, Textority may process that feedback and the relevant surrounding context to address the feedback, evaluate the feature, investigate problems, or improve the supported service where permitted.
2.9 Technical, usage, safety, and security data. AI-related use may generate technical logs, timestamps, model or feature identifiers, error information, performance information, usage events, abuse indicators, safety signals, device or network information, and similar records reasonably necessary to operate, secure, troubleshoot, measure, or enforce the Services.
3. WHERE AI-RELATED DATA COMES FROM
3.1 From the User. Information may come directly from a User who enters a prompt, sends a message, uploads a file, connects a source, configures an AI Feature, provides feedback, or otherwise supplies information to the feature.
3.2 From a Creator or authorized team member. A Creator or authorized team member may configure knowledge sources, workflows, instructions, audience rules, permissions, business information, or other context used by an AI Feature. Information supplied by a Creator may include information about End Users where the Creator has the authority and lawful basis required for that use.
3.3 From use of the Services. Textority may generate or receive technical, security, feature-use, workflow, account, and interaction information as a person uses the Services.
3.4 From other participants. Other Users may provide information about a person in a conversation, transaction, support matter, report, team workspace, or other interaction. A person who submits information about someone else is responsible for having any consent, authority, or lawful basis required for that submission.
3.5 From service providers. Textority may receive information from AI Providers, infrastructure providers, communications providers, security or fraud providers, analytics providers, or other service providers where reasonably necessary to provide, protect, troubleshoot, or administer an enabled AI Feature and permitted by applicable law and contract.
4. HOW TEXTORITY MAY USE DATA TO PROVIDE AI FEATURES
4.1 Generate or transform content. Textority may process relevant Input and context to draft, summarize, translate, classify, transform, recommend, retrieve, organize, or generate content requested through an enabled AI Feature.
4.2 Respond to conversations. Where a conversational or automated-response feature is enabled, relevant messages, instructions, knowledge sources, and permitted context may be processed to generate or route a response.
4.3 Retrieve relevant knowledge. An AI Feature may search, rank, retrieve, or otherwise identify portions of a permitted knowledge source or connected dataset that appear relevant to an Input. Retrieval may involve creating or using technical representations, indexes, embeddings, or comparable methods where actually implemented.
4.4 Operate workflows and tools. Where Textority enables an AI Feature to invoke a supported workflow or tool, Textority may process the minimum context reasonably necessary to determine whether the action is permitted, prepare the action, request confirmation where applicable, perform the supported function, and record the result.
4.5 Personalize an enabled experience. An AI Feature may use settings, language, prior choices, or other permitted context to tailor an enabled experience when the product configuration and applicable notice support that use. This notice does not state that Textority builds a universal AI profile of every User.
4.6 Maintain service quality. Textority may use appropriate AI-related records to diagnose errors, address failures, investigate reported problems, measure feature performance, maintain reliability, and support the operation of the Services.
5. CREATOR CONFIGURATIONS, KNOWLEDGE SOURCES, AND END USER DATA
5.1 Creator-directed processing. A Creator may determine what lawful knowledge sources, instructions, response rules, workflows, and permissions are made available to an AI Feature under the controls Textority provides. Textority may process that material to provide the configured feature.
5.2 Creator responsibility. Creators remain responsible for having the rights, permissions, notices, consents, and lawful basis required for information they place into a knowledge source or otherwise make available to an AI Feature, including personal information relating to End Users or third parties.
5.3 Access boundaries. Creators should configure knowledge sources and team permissions so that an AI Feature does not expose information to a person who is not authorized to receive it. Textority may apply technical or policy restrictions, but configuration by a Creator remains relevant to what information is made available within that Creator-controlled environment.
5.4 End User interactions. When an End User communicates with a Creator through a Textority AI Feature, the End User message and relevant context may be processed to respond or perform the enabled function. The responsible Creator may also have access to the conversation or resulting records to the extent permitted by the feature, the Creator relationship, Textority terms, and applicable law.
5.5 No authority to misuse data. Access to information through an AI Feature does not authorize a Creator or other User to use, disclose, export, profile, enrich, sell, or otherwise process that information for an unrelated or unlawful purpose.
6. AI PROVIDERS AND OTHER SERVICE PROVIDERS
6.1 External AI Providers. Textority may use third-party models, APIs, infrastructure, hosting, retrieval systems, safety services, or other technology to provide AI Features. When an external provider is used, Textority may transmit information reasonably necessary for the enabled feature to that provider.
6.2 Provider arrangements matter. How an AI Provider handles information depends on the provider, product configuration, account type, contract, technical settings, and applicable law. Textority does not use this notice to make an unverified promise that every provider retains data for the same period, processes data in the same location, or applies the same training practices.
6.3 Service-provider purpose. Textority seeks to use providers for legitimate service, security, support, compliance, and operational purposes consistent with the applicable Textority notices and agreements. Where privacy law requires contractual restrictions on a processor or service provider, Textority will apply those requirements when they govern the processing.
6.4 Provider changes. Textority may add, replace, or discontinue an AI Provider as models, services, security needs, commercial arrangements, and product requirements evolve. A material change in data handling will be addressed through the notice, consent, contract, or other mechanism required by applicable law and the nature of the change.
6.5 No provider endorsement. Use of an AI Provider does not make that provider responsible for all of Textority, and does not mean Textority endorses every product, model, output, or separate practice of that provider.
7. MODEL TRAINING, FEATURE IMPROVEMENT, AND EVALUATION
7.1 No blanket training statement. Textority does not state that all User Content, Inputs, or Outputs are used for model training or improvement, and does not state that they are never used for those purposes. The applicable feature, provider arrangement, settings, contract, and notice determine the practice for the processing at issue.
7.2 Providing the feature is different from training. Processing an Input to generate an Output, retrieve knowledge, perform a supported workflow, apply a safety control, or troubleshoot a service does not by itself mean that the information is being used to train a general-purpose model.
7.3 Textority feature improvement. Textority may use appropriate technical, usage, feedback, evaluation, and service-quality information to maintain or improve an AI Feature where permitted by the governing terms, privacy notice, provider arrangement, and applicable law. If improvement requires a materially different use of personal information or User Content, Textority will use the notice, consent, setting, agreement, or other mechanism required for that use.
7.4 General or shared model training. Textority will not treat general acceptance of the Terms as an unlimited authorization to repurpose personal information for undisclosed general-purpose or shared-model training. Any material use of personal information for such training must be supported by the applicable legal basis, disclosures, contractual rights, and other requirements that govern the use.
7.5 Provider training practices. An AI Provider may have different technical modes or contractual terms concerning model improvement. Textority will not represent that an AI Provider is prohibited from using Textority data for provider training unless that restriction is actually supported by the applicable provider arrangement. Feature-specific notices or agreements may provide additional commitments where they have been verified.
7.6 Changes in training practices. Textority will not rely solely on a hidden or retroactive change to this notice to authorize a materially broader use of personal information or User Content where applicable law, an existing promise, or the governing agreement requires additional notice, consent, or agreement.
8. SAFETY, SECURITY, SUPPORT, AND LEGAL COMPLIANCE
8.1 Safety and abuse prevention. Textority may process AI-related information to identify, investigate, prevent, or respond to prohibited content or conduct, including fraud, scams, child exploitation, non-consensual intimate content, harassment, impersonation, malware, unauthorized access, evasion of safeguards, or other activity prohibited by Textority terms or law.
8.2 Human review may occur. Authorized Textority personnel or service providers may review relevant AI-related information when reasonably necessary for support, safety, security, abuse investigation, legal compliance, quality evaluation, or another permitted purpose. This notice does not state that every AI interaction is reviewed by a person.
8.3 Security. Textority may use technical, account, device, network, usage, and security information to authenticate access, detect misuse, enforce limits, investigate incidents, protect Users, and secure the Services. No online or AI service can guarantee absolute security or confidentiality.
8.4 Legal obligations. Textority may preserve, access, use, or disclose AI-related information when permitted or required by applicable law, including to respond to valid legal process, protect rights and safety, comply with mandatory reporting or preservation duties, or establish, exercise, or defend legal claims.
8.5 No unnecessary exposure. Users should not intentionally include illegal content, authentication secrets, payment credentials, or unnecessary highly sensitive information in a prompt or knowledge source merely to test an AI Feature or support a report. Specialized safety and reporting processes should be used where applicable.
9. SENSITIVE, CONFIDENTIAL, AND REGULATED INFORMATION
9.1 Use only when appropriate. Before submitting health, financial, biometric, precise-location, government-identifier, confidential, privileged, trade-secret, sexual-life, or other sensitive information to an AI Feature, a User should determine whether that feature is appropriate and whether the User has the authority and legal basis required for that processing.
9.2 Feature restrictions. Textority may restrict AI Features from receiving or acting on particular sensitive information, professional data, payment data, identity information, or other high-risk categories even when the underlying information is lawful.
9.3 Separate consent where required. If applicable law requires consent, authorization, or another specific condition before sensitive personal information may be processed for a covered AI purpose, acceptance of general Textority terms does not replace that requirement.
9.4 Regulated professional uses. Textority AI is not a substitute for legally required professional judgment, confidentiality controls, recordkeeping, supervision, informed consent, or other obligations. Textority does not currently enable prohibited clinical, telehealth, or other regulated uses merely because an AI Feature can process text or other information.
9.5 HIPAA and comparable regimes. A User must not assume that an AI Feature is configured for protected health information, a business-associate relationship, financial regulatory data, education records, or another specially regulated dataset unless Textority expressly provides the required feature, agreement, and compliance framework for that use.
10. MINORS AND AGE-RELATED DATA
10.1 Children under 13. Textority’s current account eligibility framework does not permit children under 13 to create accounts or use interactive Services intended for account holders. AI Features do not create an exception unless Textority expressly establishes a separate legally compliant service.
10.2 Teen Users. Where Textority permits a Teen User to access an AI Feature, relevant messages, Inputs, Outputs, account context, safety signals, and other information may be processed for the enabled feature subject to the Terms, Age Eligibility Policy, Child Safety Policy, applicable guardian framework, and feature-specific restrictions.
10.3 Additional safeguards. Textority may limit data categories, memory, visibility, personalization, contact functions, automated actions, or other AI capabilities for Teen Users where reasonably necessary for safety, privacy, product design, or legal compliance.
10.4 Child safety processing. Information relevant to suspected child sexual exploitation, grooming, sextortion, trafficking, or other serious child-safety concerns may be processed, escalated, preserved, disclosed, or reported as permitted or required by applicable law and Textority child-safety procedures.
11. PROFILING, PERSONALIZATION, AND AUTOMATED DECISIONS
11.1 No universal profiling claim. The existence of Textority AI, recommendations, classifications, routing, personalization, or automation does not by itself mean that Textority engages in profiling or automated decision-making as those terms are defined by every privacy or AI law.
11.2 Significant decisions. This notice does not represent that current AI Features make decisions producing legal or similarly significant effects about individuals. Textority may restrict AI Features from independently making sensitive decisions involving payments, account ownership, identity, safety, access, professional services, or other high-impact matters.
11.3 Future covered uses. If Textority introduces a use of AI or automated decision-making that triggers a legally required notice, risk assessment, explanation, access right, correction right, opt-out, appeal, human review, consent, or other protection, Textority will provide the applicable protection when the law and processing require it.
11.4 Creator responsibility. A Creator that uses Textority AI to support its own decision-making remains responsible for determining whether the Creator is subject to independent obligations concerning profiling, employment, housing, credit, insurance, education, healthcare, professional services, or another regulated context.
12. RETENTION, DELETION, AND MEMORY
12.1 No universal AI retention period. Textority does not promise one retention period for every AI-related record. Retention depends on the data category, feature, purpose, provider arrangement, account status, support or safety need, legal obligation, dispute, and the Data Retention and Deletion Policy.
12.2 Purpose-based retention. Prompts, Inputs, Outputs, knowledge-source references, configuration records, feedback, technical logs, and AI usage records should be retained only for feature-specific purposes and periods actually supported by the applicable product configuration, provider arrangement, privacy notice, and law. This notice does not authorize indefinite retention.
12.3 Conversation history and memory. If a feature uses conversation history, saved context, preferences, or a memory-like function, the information available to that feature depends on the actual product configuration and controls presented for that feature. This notice does not state that Textority AI permanently remembers every interaction.
12.4 Deletion from active systems. Deletion of an account, conversation, knowledge source, or AI-related record may remove or restrict information from active use as described by the applicable Textority policy and feature. Deletion may not immediately remove information from backups, security records, fraud records, legal holds, provider systems, or other locations where temporary or continued retention is permitted or required.
12.5 Shared or external copies. Deleting information from Textority does not necessarily delete an Output, message, file, or other material that another User lawfully received, separately saved, exported, published, or transmitted outside the affected Textority record.
12.6 Legal and safety preservation. Textority may retain or preserve information notwithstanding an ordinary deletion rule when reasonably necessary and permitted or required for child safety, fraud prevention, security, disputes, legal holds, valid government requests, mandatory preservation, or legal claims.
13. PRIVACY RIGHTS AND USER CONTROLS
13.1 Privacy rights. Depending on the jurisdiction and processing, a person may have rights to access, know, correct, delete, obtain a copy of, restrict, object to, or opt out of certain processing of personal information. Textority applies those rights when the applicable legal requirements and thresholds are met.
13.2 Privacy Center. Requests concerning personal information may be submitted through the methods identified in the Textority Privacy Center or applicable regional privacy notice. A request may be subject to authentication, exceptions, and limitations permitted by law.
13.3 Feature controls. Where Textority provides settings to disable an AI Feature, change a configuration, remove a knowledge source, delete a conversation, control personalization, or adjust another AI-related preference, the setting applies according to the scope and technical function described for that control.
13.4 Creator-controlled data. Some information used in an AI Feature may be controlled by a Creator or other business User rather than solely by Textority. Textority may route or coordinate a request where appropriate, but the responsible party and available rights depend on the actual processing relationship and applicable law.
13.5 No right created by feature language. A product setting, explanatory label, or voluntary control does not create a statutory privacy right that otherwise does not apply. Textority may nevertheless provide reasonable voluntary controls where operationally appropriate.
14. INTERNATIONAL PROCESSING AND DATA LOCATION
14.1 International service environment. Textority serves Users in more than one country and may use service providers that operate across jurisdictions. AI-related information may therefore be processed in countries other than the country where a User is located, subject to applicable law and Textority provider arrangements.
14.2 No unsupported data-location promise. This notice does not state that all AI-related information is stored only in the United States, only in Colombia, or in any other single location. Textority will not publish a provider-specific data-residency commitment unless it is supported by the actual architecture and applicable agreement.
14.3 Transfer requirements. Where applicable law requires a contractual, consent-based, adequacy, or other mechanism for an international transfer of personal information, Textority will apply the required mechanism when the transfer and jurisdiction are within scope.
15. SECURITY AND CONFIDENTIALITY LIMITS
15.1 Safeguards. Textority uses safeguards that it considers reasonable and appropriate for the Services and information at issue and expects service providers handling personal information to meet applicable contractual, confidentiality, security, and legal requirements.
15.2 No absolute security guarantee. No AI or online service can guarantee absolute security, confidentiality, availability, accuracy, or freedom from unauthorized access. This notice does not represent that AI interactions are end-to-end encrypted, that Textority can never access AI-related User Content, or that deletion is instantaneous or irreversible.
15.3 User precautions. Users should avoid placing unnecessary secrets, credentials, highly sensitive personal information, privileged material, or third-party confidential information into an AI Feature and should apply access controls, permissions, contractual protections, and professional safeguards appropriate to the information.
16. CHANGES, QUESTIONS, AND CONTACT
16.1 Updates. Textority may update this notice as AI Features, provider arrangements, legal requirements, and actual data practices evolve. A material change in the handling of personal information will be addressed through the notice, consent, agreement, or other process required by applicable law and the nature of the change.
16.2 No retroactive expansion by notice alone. A later version of this notice does not by itself retroactively expand Textority’s rights to use previously collected information where an existing promise, agreement, consent, or applicable law requires another basis for the new use.
16.3 Questions and reports. Questions about AI-related privacy or data practices, or reports concerning misuse of an AI Feature, may be submitted through the applicable Textority privacy, legal, support, or reporting route.
